Lumary WFM - This article explains how to use the Send Offer and Review Offers features to offer a session/shift to multiple appropriate workers and assign the most suitable worker once responses have been received.
When a session/shift becomes unassigned, the Send Offer feature helps schedulers quickly identify suitable workers, send then offers, and assign a worker based on expression of interest and acceptance criteria.
This article explains how to:
Send an offer from the live schedule
You can send an offer directly from the live schedule to one or more workers to see who is interested in taking an available session or shift.
- Go to the Scheduling tab from the navigation bar. If it’s not visible, open the App Launcher, search for Scheduling, and select it.
- On the live schedule, locate an unassigned session or shift you want to offer, right-click it, and select Send Offer.
- In the Send Offer window, review the worker appointment times and determine whether the offer should include all appointments or selected ones (applicable only to Sessions with multiple unassigned worker appointments).
- Select the Rule Engine to help identify the most suitable workers, then click Run. The results display recommended workers and their suitability based on your defined criteria.
- Choose how to send the offer:
- Offer All – sends the offer to all listed workers.
- Offer to Selected – allows you to select specific workers to send the offer to.
- Click Offer to Selected (or Offer All) and confirm by clicking OK.
- A summary screen will confirm which workers successfully received the offer. Workers who meet eligibility requirements will receive a push notification via the Lumary mobile app.
- You can review the status of your offer by clicking Review Offer(s).
Mobile: Workers may take a few minutes to receive the push notification. They can respond to offers directly in the mobile app indicating whether they are interested. Workers can view pending offers under the My Offers tab or via the bell icon on their home screen.
Review offers and assign a worker to the session/shift
To review shift offers and workers' responses:
- On the live schedule, locate the unassigned session/shift you want to review, right-click it, and select Review Offers.
- Review key worker information such as:
- Worker name and their primary site
- Employment type, rostered and contracted hours
- Last and next session/shift details to ensure minimum rest break requirements are met (coming in Feb 2026)
- Previous experience working with the participant(s) assigned to the session
- Tag matching results
- Response status:
- Interested – worker would like to take the session or shift.
- Not Interested – worker does not wish to take the session or shift.
- Pending – worker has not yet responded.
- Date and time of response
- To send a reminder to workers who haven’t responded, click the bell icon and confirm.
To assign the session/shift to the most suitable interested worker:
- In the Review Offer(s) window, identify the interested worker and click Assign next to the worker's name and confirm by selecting OK.
- The session or shift will be removed from the dashboard and appear under the assigned worker’s live schedule. To verify, return to the Scheduling tab and check that the session/shift now displays under the correct worker.
Mobile: The assigned worker will receive a push notification confirming that the session/shift has been allocated to them. All other workers who expressed interest but were not selected will also be notified. Any remaining pending requests will automatically expire and no longer be visible in the mobile app after a defined period.
Tip: You may access all scheduling requests via Scheduling Dashboard, subject to user permissions.
- Open the App Launcher, search for Scheduling Dashboard, and click on it.
- Select the Sent Offers tab to view all sessions/shifts that have been offered.
- Use the filters to find and review a specific session if needed.
