Lumary WFM - This article explains how a manager can approve the leave requests, view leave requests on the live schedule, and find and assign a replacement worker.
This article explains how to:
- approve a leave request,
- bulk approve a leave request,
- view leave request details on the live schedule, and
- find and assign a replacement worker.
Approve a leave request
When a worker has submitted a leave request, a manager can approve the request by:
- Search and select Items to Approve using the app launcher and identify the leave request for the worker. Alternatively, select the leave request directly using the notification received from the leave request by selecting the notification bell.
- Use drop down arrow on a leave request to approve, reject or reassign a request.
- Any sessions scheduled during the leave are automatically cancelled and shaded grey. Cancelled sessions move to the Unassigned section at the bottom of the live schedule, ready for reassignment.
Bulk approve a leave request
When a worker has submitted a leave request, a manager can bulk approve, reject or reassign a leave request by:
- Search and select Items to Approve using the app launcher
- Use the tickboxes to select leave request items to approve, reject or reassign.
- Select the manage button to display the manage approval requests modal.
- Select approve, reject or reassign and add a comment (optional).
- Select Ok button.
- Any sessions scheduled during the leave are automatically cancelled and shaded grey. Cancelled sessions move to the Unassigned section at the bottom of the live schedule, ready for reassignment.
View leave request details on the live schedule
To view leave in the live schedule:
- Select scheduling tab to view the live schedule.
- Hover over a leave request item. Leave item appears in a highlighted red box on the live schedule.
- View details such as:
- Leave status: Pending or Approved
- Start Date and Start Time
- End Date and End Time
- Employee
- Leave Type
- Leave Period
Find and assign a replacement worker
Any sessions scheduled during the leave are automatically cancelled and shaded grey. A copy of the session will now be available in the Unassigned section at the bottom of the live schedule, and available to be reassigned to a replacement worker.
To assign a replacement worker:
- Right-click the unassigned session and select Modify Workers.
- Follow the steps to modify the worker.
The new worker will see the session under My Upcoming Sessions in the mobile app. Direct assignment does not send a push notification, so it’s recommended to contact the worker directly if it’s last-minute.
Tip: To offer the session to multiple workers and see who accepts, use the Send an offer from the live schedule feature.
