The following covers the feature draft base rosters and assumes that you have draft base rosters enabled in settings. Only one draft is allowed per active base roster, and drafts cannot be created from previous (inactive) versions.

Draft base rosters allow users to create a draft version of a new or existing base roster. Allowing changes to be made in a preview format, without affecting leave calculation or roster periods, before they are finalised. This will help schedulers quickly plan and view the effects of changes on the base roster. Finalised drafts will update the base roster and update the status of the previous base roster to inactive.
The article covers how to:
- create or edit a draft base roster,
- view a previous version of a base roster,
- identify the base roster version used for a roster period, and
- delete a draft base roster.
Create or edit a draft base roster
When creating or cloning a new base roster, it will always be created as a draft initially.
- Click on Scheduling in the navigation bar.
- Select the Roster Mode button.
- Choose the Select an existing Roster option and search for the base roster you would like to create a draft version of.
- Click the Open Roster button.
- Click on the Draft Mode button on the top right-hand side.
- If there is no existing draft for the roster, you will receive a message. Click the OK button to proceed.
Show/hide animation.
- Make any required changes to the draft version, such as rostering new sessions, modifying and deleting sessions etc.
- Select the Finalise draft base roster button. A warning message will display. Once a draft roster is finalised, any existing roster periods created using the currently active base roster will not be affected by the changes just made. Any new roster periods created after it is finalised will use the updated base roster.
- Click OK button to proceed. Finalised drafts will update the base roster and update the status of the previous base roster to inactive. Please avoid closing the screen whilst the draft is being created. This ensures that all changes can be applied correctly.
- A success message will display. The drafted version has now been finalised.
View a previous version of a base roster
The following steps outline how to view a previous version of a base roster. You may want to historically view previous base rosters for audit purposes or to compare versions.
- Click on Scheduling in the navigation bar.
- Select the Roster Mode button.
- Choose the Select an existing Roster option and search for the base roster you would like to view the previous version of.
- Click on the drop-down menu and select from the listed previous versions of the base roster. Base roster versions are sorted in chronological order by the most recent effective from date, and are labelled by the version number and date.
Identify the base roster version used for a roster period
The following steps outline how to identify the base roster version that was used when a roster period was created.
- Click on Scheduling in the navigation bar.
- Select the Roster Mode button.
- Choose the Select an existing Roster option and search for the base roster you would like to view the previous version of.
- Select the Roster Period from the drop-down menu. The roster periods are displayed in chronological order based on the upcoming roster publish date. Roster periods are labelled by the roster period dates and the base roster version number it utilises.
Delete a draft base roster
The following steps outline how to delete a draft base roster. You may want to do this if the current draft will not become finalised, and you want to create a new draft and start fresh.
- Click on Scheduling in the navigation bar.
- Select the Roster Mode button.
- Choose the Select an existing Roster option and search for the base roster you like to delete the draft of.
- Click the open Roster button.
- Click on the Draft Mode button on the top right-hand side.
- Click the Delete Draft button.
- Click OK button to proceed. Once you have deleted a base roster, the action cannot be undone.
