You can use tags to list a client's needs or preferences on their client record. The rules engine in Lumary uses tags to help find available workers who best match a client's requirements.
Your business might use tags for things like:
- care requirements or support needs
- language preferences
- environmental factors, for example, has pets or prefers non-smoking workers
- other personal preferences that can help match them to workers.
To add tags to a client's record:
- Go to the client's record.
- Click on the Preferences & Legal tab.
- In the Contact Tags list, click on the New button.
- Complete the New Contact Tag form as explained in the table below. Fields with an asterisk are mandatory. The fields in your environment may be different depending on how your system has been set up to meet your business's requirements.
| Field | Purpose |
|---|---|
| *Tag | Start typing in the tag name. When the tag appears in the list, click on it to select it. |
| *Contact | Auto-fills with the client's name. |
| Required | Tick this box if the tag represents a mandatory requirement for worker matching. For example, if a client must have a worker who speaks French, you would tick this box. |
| Start Date | If applicable, specify when the tag takes effect. If you enter a start date, workers will only be matched based on this requirement from this date onward. |
| Expiry Date | If applicable, specify when the tag expires. This can be used for tags that relate to temporary needs or time-limited preferences. If you enter an expiry date, workers will only be matched based on this requirement until this date. |
| Status | Defaults to Current when you're adding a new tag. If a tag no longer applies, you can edit the tag and change this field to Expired, which means this requirement will no longer be used in worker matching. |
- Click Save if this is the last or only tag you need or Save & New if you're adding multiple tags for this client.
All the client's tags are displayed on the Preferences & Legal tab in the Contact Tags section. You may need to click View All to see the entire list.
To Edit or Delete a client tag, click on the drop-down arrow at the end of the row.
Note: For tags to work effectively in worker matching, you'll also need to ensure that corresponding worker tags have been created and joined using the Tag Manager. For example, if you tag a client with "Requires French", there should be a worker tag like "Speaks French" that's been joined to it in the Tag Manager.
