This release includes improvements for award interpretation, rostering and scheduling, service delivery and mobile.

The release also includes several bug fixes and other changes.
We’ve also included updates to permission sets.
Award interpretation
Display award breaches on a roster period
The Estimate Award Interpretation button and process for a roster period have undergone significant updates. Once the estimation process is complete, it previously displayed a cost breakdown; now, it will display a list of award breaches, grouped by worker. To get to the old view of the cost breakdown, the cost (vs budget) button can still be clicked. This enhancement helps roster planners make informed decisions to reduce award breaches.
Rostering and scheduling
Send shift offers in bulk
The send offers functionality has been redesigned to enable the ability to send an offer to employees in bulk. When you run a matching engine, you’ll have the option to select the Offer All or Offer to Selected buttons.
- The Offer All button will send offers to all workers who meet the matching engine criteria.
- The Offer to Selected button will send offers to workers whom you have selected after running the matching criteria.
Assigning sessions to shifts
We have made improvements to increase the efficiency of assigning and reassigning sessions to shifts. The Modify Workers right-click action on a session now streamlines the ability to relate a shift for each worker. With this improvement, we will be looking to soon remove the Assign Shift right-click action.
Cloning shifts with associated sessions
The cloning functionality for shifts has been enhanced to include associated sessions. When a shift is cloned, all related records, such as worker appointments, session activities, and assets, will also be cloned, provided that none of the sessions have more than one worker appointment. If any session has more than one worker appointment, no associated sessions will be cloned with the shift.
Hover over displays related shift information
The calendar now displays additional information when hovering over a session in the calendar. Now, when you hover over a session related to a shift, the associated shift details, including start time, end time, and subject, will be displayed. This functionality is available in both the Session View and the combined Session & Shift View.
Allowing in-progress changes
We have made the improvements below to allow in-progress sessions and shifts to be edited, as circumstances can change during service delivery.
- Roster planners can now use right-click actions on scheduling calendars for in-progress sessions and shifts. This change includes enabling users to modify session times, session activities, workers, clients and services.
- Roster planners can also modify details from a session record page, however, the session start and end fields are now read-only. Users will be prompted to use the Modify Session Times right-click option on the scheduling calendar to make changes to start and end values. This enhancement ensures proper validation checks and prevents scheduling conflicts with existing worker appointments.
- From an in-progress session’s record page, associated records for clients and planned services can also be modified or added when needed.
- If an in-progress session is part of a recurrence series, modifying the session will not impact other sessions in the series.
Worker appointment auto-approval
Along with the changes to capture actual times and outcomes for rostered session activities, the conditions for auto-approval of worker appointments have been expanded to check for variances to session activities including if a break was taken or not, if breaks or sleepovers occurred at a different time to what was rostered, and if their were any wake ups. There is no built-in tolerance for variations between scheduled and actual times for session activities. Any variance in start time or duration will cause the worker appointment to require manual approval.
Service delivery
Capturing session activity completion
Right-click actions on the scheduling calendar for Complete Shift and Complete Session now surface rostered breaks and sleepovers, to confirm if they occurred as rostered, or capture the actual start and end times, with a comment. For sleepovers, wake ups can be added with start time, end time and comments.
This ensures that all session activities that were completed will have a status of Complete and a finalised start and end time ready for worker appointment review and approval.
Auto-generate activity based transport service delivered records
Providers can now use the Auto-generate Service Delivered Records option on service agreement items for NDIS Activity Based Transport services. This can be used to bill fixed transport costs based on the frequency and recurrence pattern defined on the item.
Mobile for WFM
Display rostered allowances, breaks and sleepovers
For workers viewing their upcoming sessions or shifts, they will now see an icon to indicate a rostered allowance, break or sleepover. When clicking into the shift or session, the rostered start and end times are also shown, so workers are informed about the type of shift and what time to take their breaks.
Enable workers to record session activity variations when completing a shift or session
The Complete Shift or Complete Session buttons now surface rostered breaks and sleepovers, prompting the worker to confirm if they occurred as rostered, or enter the actual start and end times, with a comment. For sleepovers, workers can record wake ups with start time, end time and comments.
This ensures that all session activities that were completed will have a status of complete and a finalised start and end time ready for worker appointment review and approval.
Bug fixes and other changes
The following bug fixes and changes are also included in this release.
Workforce management
Holiday calendar improvement - There has been an update to the label of the Public Holiday Calendar and Public Holiday Calendar Day objects. The label is now simply Holiday Calendar and Holiday Calendar Days.
Service delivery fix - Performing a billable client cancellation will now charge centre capital costs (CCC) if applicable. Even if the cancellation reason Billable % field value is set to less than 100%, the CCC service delivered record will be created at 100% of the CCC rate.
Session fix - Resolved an issue when creating a new session in a base roster or roster period where a roster planner was unable to select a rate or funding management for line items categorised as unrestricted on the service agreement. This issue, which blocked the session creation process, has been addressed to ensure progression without needing to cancel the planned service.
Shift improvement - The Scheduling Dashboard has been updated to consider shifts. This update ensures that unassigned shifts and sessions are displayed accurately, allowing roster planners to assign workers and manage client support needs effectively. The dashboard now filters out shifts from criteria that require a client and planned service, enhancing usability and reducing false positives.
Worker appointment approval improvement - When viewing the list of worker appointments requiring approval, the Site Name field can be added as a column in the list view, or as a filter. This enables approvers to focus on only the worker appointments they are responsible for approving. It also aids in following up on any queries with the applicable Site.
Award interpretation
Availability improvement - Simplified the view of availability, unavailability and leave records by separating related lists with tabs.
Public holiday calendar improvement - There is now the ability to clone a Calendar record of type public holiday, and its related Calendar Period records. This can be done from the Calendar record page. This enables a user to quickly set up a regional public holiday calendar by cloning an existing state-related calendar and creating additional regional calendar periods.
Permissions
WFM permissions
WFM permission sets extend some mobile, rostering and scheduling features. Updates to field permissions on these permission sets are shown in the following table. If you have custom or cloned permission sets that include these objects, we recommend that you add these permissions.
