This release includes improvements for rostering and scheduling, and mobile.
Rostering and scheduling:

Rostering and scheduling
Review workers who have indicated interest in a shift offer
In WFM release 2.6, we introduced the ability to send shift offers in bulk. The send offers functionality is being extended by a new Review Offers screen to allow schedulers to review and select the most suitable candidates for shifts, moving away from the first-come, first-served approach.
To review the shift offer candidates, navigate to the calendar, right click on the unassigned session and select the Review Offers button. This action will open a new screen, allowing the scheduler to see which workers have expressed interest in the shift and choose the appropriate worker for assignment. If a group session has been offered, each worker appointment in the session will be viewable and assignable in the same screen.
When reviewing a shift offer in the mobile app, workers will now indicate their interest in available unassigned shifts instead of simply accepting the shift offer. Workers can select "Interested" or "Not Interested" for the shifts they have been offered, which will then be reviewed by the rostering team. The mobile app has been updated to rename the My Scheduling Request tab to My Offers tab, providing a clearer interface for workers to manage their shift offers.
We have also updated the notification system for shift offers. Workers who are successfully assigned a shift will now receive a notification confirming their assignment, while those who expressed interest but were not assigned will be notified of their unsuccessful application.
Use the shift offer dashboard to fill unassigned shifts
We’ve added a new tab to the Scheduling Dashboard, named Sent Offers. This has been created to provide schedulers with a comprehensive view of all offered shifts. This update allows schedulers to see details such as time, date, location, and the status of responses for each shift, all on a single screen. Shifts are prioritised by urgency, helping schedulers take timely actions to fill available slots.
Enhancements to eligibility criteria for assigning a worker who has expressed interest in a shift
An eligibility check now validates worker’s based on criteria such as overlapping shifts, approved leave, and blocklist status before sending offers to workers or assigning workers to shifts on the Review Offers screen, ensuring only eligible workers are considered.
The system has been updated to send offers exclusively to eligible workers, thereby preventing unnecessary notifications to those who do not meet the criteria. Upon sending offers, a success screen will be displayed to the user, detailing the start and end times of worker appointments, along with the number of successful eligible and unsuccessful ineligible offers sent.
When assigning a worker to a session or shift in the Review Offers screen, the system will show specific messaged based on the outcome of the eligibility criteria if the assignment is unsuccessful.
Filter workers by site before sending a bulk shift offer
We’ve introduced a new feature allowing schedulers to filter workers by their associated sites before sending shift offers. The "Offer All" button has been updated to send offers only to workers that are included in the filtered results, enabling schedulers to efficiently target workers with relevant site experience.
Preventing processed leave from being edited
Safeguards have been implemented to prevent editing leave records in a way that excludes already processed leave request items. Users will now receive a warning if they attempt to shorten or shift leave periods that overlap with processed dates. This has been implemented to avoid the misalignment between the leave record and the award interpretation module, as such changes may require pay adjustments.
Warning for pending leave conflicts
We’ve made a change in how the system handles pending leave conflicts for roster planners. Now, when a session is created, updated, or assigned to a worker with pending leave, a warning is issued instead of preventing the action. This allows roster planners to make informed decisions to assign a worker sessions that overlap pending leave without being blocked by system restrictions.
Assigning sessions to shifts
When creating a shift, whether a worker is added at the time or not, a roster planner can now assign sessions to the shift. This improves workflow and reduces the overall time required by removing the need to create the shift first, and then assign sessions individually to the shift after the fact. There are also validations in place to ensure that the sessions being assigned to the shift do not overlap with each other.
Rostering unpaid breaks and sleepovers
Unpaid breaks and sleepovers can no longer be rostered to sessions that are related to a shift. These activities should be rostered to the shift directly. Along with this, when assigning a session with unpaid breaks or sleepover activities to a shift, these activities will now be re-linked from the session to the shift.
Dashboard for unpaid breaks and sleepovers on sessions
A new tab in the Scheduling Dashboard has been added named Unpaid Breaks/Leave, which will display sessions with unpaid breaks and sleepovers that are related to a shift. This highlights the need to take action by moving the session activities from the session to the related shift.
Rostered hours considers completed and approved hours
The live schedule calendar has had a significant update with how a worker’s rostered hours against contracted hours are calculated. The rostered hours will now take into consideration workers’ appointments that have been completed, approved and will use the finalised date and times to calculate their attribution to the rostered hours, instead of the scheduled date and times. This change provides roster planners with a more accurate view of actual worked hours, enabling better vigilance and compliance with contracted hours.
The rostered hours will use the appointment's scheduled date and times.
When an appointment is completed and approved, the rostered hours will then use the appointment’s finalised date and times.
The rostered hours will also include client cancelled appointments where workers are not redeployed but are entitled to be paid. This change ensures that all payable hours are accurately reflected in the rostered hours.
Along with the rostered hours being updated, the duration of hours shown on the calendar for a session will also take into consideration completed and approved appointments and use their finalised date and times.
Create or modify a shift when modifying workers
Roster planners can now create and modify shifts directly when assigning a worker to a session. This enhancement simplifies the workflow, allowing you to manage worker scheduling and ensure shifts are accurately assigned efficiently. The new functionality is accessible via the plus icon button for creating a shift and the pencil icon button for modifying a shift.
Additional information when approving worker appointments
When viewing the list of worker appointments requiring approval, the Site Name field can be added as a column in the list view, or as a filter. This enables approvers to focus on only the worker appointments they are responsible for approving. It also aids in following up on any queries with the applicable site.
Validation of the planned service scheduled delivery ratio
When adding or editing planned services on existing sessions, a validation error will appear if the Scheduled Delivery Ratio is for more workers than clients. This has been added to ensure correct billing and apportionment.
Mobile for WFM
Display of session activity information
We’ve made an update to how session activity information is displayed in the mobile app. Breaks will now include whether they are paid or unpaid, the session location address has been moved above the list of session activities, and the session activity heading has been removed for simplicity.
View cancelled clients in a session
Previously, if a client had been cancelled, there was no way to tell when viewing a session on mobile. Now, when you navigate to the session page and are viewing the client list, any clients who are cancelled will have their name crossed off and the cancellation reason displayed in red.
View and edit draft case notes
A new My Draft Case Notes link has been added to the mobile home page. This feature makes it easy for workers to locate their draft case notes and complete them at the end of their shift. The title, description and status fields can be edited.
Bug fixes and other changes
The following bug fixes and changes are also included in this release.
Workforce management
Calendar fix - An issue with the Hide Workers with No Sessions filter and the Shifts & Session View on all calendars has been resolved. Previously, workers with assigned shifts or sessions were incorrectly hidden when this filter was applied.
Group appointment improvements - Group templates have been renamed to group programs. Now when you schedule a session for a group program, clients who are current members of the group cannot be removed. This ensures accurate attendance records can be maintained.
Rostering and scheduling fixes:
- A minor UI issue has been resolved when cloning shifts in the base roster and roster period calendars. Previously, it showed a modifiable day or date field, and now it will only show a modifiable time field as the shift can be cloned into multiple days or dates by selecting them.
- We have now removed the Assign Shift right click button on all calendars, as sessions can now be assigned or unassigned from shifts easily from the Modify Workers right click button.
- A legacy Shift field that was visible on the Worker Appointment record page has been removed. This is to avoid confusion with the shifts that are used when rostering.
Session activity fixes:
- The finalised times for session activities have been updated to handle scenarios where both the start and end times occur outside the scheduled worker appointment period. This ensures that the finalised times align correctly with the scheduled session, preventing validation errors and improving the accuracy of session records.
- The validation error message for session activities when the finalised end date is before the finalised start date has been corrected to read, "The Finalised End Date/Time must be after the Finalised Start Date/Time." This update ensures clarity and accuracy in session activity validations.
Shift offer fix - We have resolved issues related to assigning shift offers to inactive workers, end-dated workers, or users with inactive accounts. This fix ensures that error handling is improved, preventing error messages from being displayed in these scenarios.
Award interpretation
Award interpretation improvements:
- The User Setup Console flow has been updated to handle the creation of salary and hourly assignments correctly. These changes ensure that salary worker assignments align with payroll requirements, preventing the deletion of assignment rates by scheduled jobs.
- The related list for Timesheet Items has been added to the AWI Timesheet Entry page layout to allow users to view and manage timesheet items directly when viewing Timesheet Entry records.
Permissions
WFM permissions
WFM permission sets extend some mobile, rostering and scheduling features. Updates to field permissions on these permission sets are shown in the following table. If you have custom or cloned permission sets that include these objects, we recommend that you add these permissions.
