Award Interpretation
Streamline the ability for support workers to raise travel and transport-related expenses
The process for workers to claim expenses via the mobile app has been streamlined. Whether they are recording travel or transport-related expenses when ending a session, or making an ad hoc expense claim, they can request a reimbursement if they paid out-of-pocket. Both processes prompt for tax type and amount, with smart validation to prevent mistakes, and create a non-labour cost record which needs to be submitted for approval by a manager. A new scheduled job has been created to convert approved non-labour records into payroll expense records, which can be processed and reimbursed in future pay batches.
When entering a new ad hoc expense claim, workers can now see their last three submitted expenses, including date and amount. This helps prevent duplicate claims and gives confidence that nothing was missed. The worker also has the option of attaching a file to the claim.
Available with Lumary DC, the desktop utility bar now includes a Claim Expenses action which enables raising an expense claim on behalf of another worker.
Leave
View the history of field changes on leave records
The full history of changes to leave records is now visible from the leave record page, with a new Availability History section. This enhancement allows managers to easily audit and track updates to key leave details, improving transparency and record-keeping.

Rostering and Scheduling
Improved experience for capturing overtime (for leave)
We have made comprehensive improvements to the user experience for capturing overtime for leave purposes. The purpose of capturing overtime is to ensure that when a worker requests leave, the overtime hours are not counted as payable leave hours.
- Display of rostered hours: When modifying workers on a session, we now display for each worker their rostered hours, contracted hours, and full-time hours (38 when weekly, 76 when fortnightly). Rostered hours will include the hours of the current session that you may be proposing to assign to the worker.
- Flagging rostered hours over full-time hours: Traffic light colours will display on the rostered hours, contracted hours and full-time hours to indicate whether the worker is rostered over their contracted hours, as well as full-time hours.
- A Capture Overtime button will appear for workers who will exceed full-time hours. When selected, a roster planner can easily capture overtime all within the modify workers process.
Easily view the client's upcoming rostered supports
A new client-specific calendar tab is now available on the client record page, providing a clear view of each client’s upcoming appointments and sessions. This calendar includes filters for site, region, and group, and allows users to easily toggle between different date ranges. This update makes it quicker and easier for staff to answer client queries about their upcoming supports.
Bug fixes and other changes
The following bug fixes and changes are also included in this release.
Workforce Management
Leave fix - Modifying session times for worker appointments that were cancelled due to leave no longer triggers leave conflict warnings or displays cancelled appointments.
Mobile fixes:
- The mobile app was unable to refresh the latest shift or session changes, e.g. shift extensions, until the app was closed and reopened. The fix ensures that updates are visible on tabs, such as My Upcoming Session, My Offers, and My Leave, upon pulling to refresh. This is so that frontline workers always see the most current information about their shifts and sessions. Following releases, we will be working on surfacing the latest record changes when viewing a session or shift.
- When navigating to a session on the mobile app, a support worker can view the names of other workers on the same session; however can no longer click into other workers and access their personal information. Support workers will now only be able to see their own details.
- Cancelled workers (appointments) will no longer appear when viewing a session in the mobile app. This reduces confusion in scenarios where a worker has called in sick and the replacement worker can still see the cancelled worker in the session.
Rostering and Scheduling fixes:
- The Client label and list no longer appear when hovering over a shift in the live schedule, base roster, and roster period calendars. This update ensures it is only shown for sessions where clients can be assigned.
- You can now successfully create a roster period even if one of the sessions on a base roster is owned (created) by an inactive user. This update ensures that inactive users no longer prevent roster period creation, allowing scheduling to continue without interruption. Sessions previously owned by inactive users will be reassigned to the user creating the roster period, maintaining visibility and access as usual.
- We have addressed an issue where worker appointment conflict violations on a roster period were not being correctly highlighted in the calendar. Violation details can be seen when hovering over the highlighted session.
Session fixes:
- The validation for overtime session activities has been corrected, so users can now add or update overtime records as expected, provided there are no more than two overtime activities per worker appointment.
- Cancelled worker appointments and their session activities will no longer be visible in the Modify Session Activities modal.
