This article explains how to modify clients and planned services on a session or shift using the right-click action on the rostering calendar.
Required and supported packages

You can modify clients and services when the session or shift is in Draft, Rostered or In Progress status. You cannot modify clients or services when the session or shift status is Complete or Cancelled.
To modify clients or services:
- Right-click the session from a base roster, roster period or the live schedule.
- Select Modify Clients & Services from the menu.
When the Modify Clients & Services popup appears, you can do three primary actions:
Change the client
If a client is already assigned to the session or shift, you can replace them with another client:
- Click the bin icon on the right hand side to remove the current client.
- Click Add client
- Search for a client by name.
- Select the new client from the search results.
- After changing the client you can either:
- add or modify a planned service, or
- Click Save to apply the change.
Add a client
If there is no client added to the session or if you wish to add additional clients you can:
- Click Add client
- Search for a client by name.
- Select the new client from the search results.
- After changing the client you can either:
- add or modify a planned service, or
- Click Save to apply the change.
The hours count will update automatically based on the start/end times entered for each client. If adding multiple clients, repeat the Add Client action for each person attending.
Bulk add clients
If a session is linked to a Supported Accommodation site, the Bulk Add Clients button is available to assign multiple clients to the session at once.
A session is linked to a Supported Accommodation site when the session location is set to site, and the selected site is configured as an Accommodation Services site with a Supported Accommodation location type
Only clients associated with the session’s site, based on their Associated Site record, are available for selection.
- Right-click the session from a base roster, roster period or the live schedule.
- Select Modify Clients & Services from the menu.
- Click Bulk Add Clients.
- Select one of the following:
- Select All to add all clients associated with the supported accommodation site, or
- Select individual clients in Available and move them to Selected to assign them to the session, or
- Remove All to remove all selected clients, or
- Select individual clients in Selected and move them back to Available to remove them from the session.
- Click Save
When removing a previously assigned client, a confirmation message is displayed. Once confirmed, the client appointment and any related planned services are deleted automatically.
For group appointments, clients are automatically added to the session based on group program membership and cannot be removed. This ensures group work type sessions remain accurate. The Base Roster has an exception to this behaviour for future planning purposes. To learn more, see create a group appointment using a group program.
Add or modify a planned service
Use this option to add to or change the service or service details attached to a client on a session. This covers changing the service type, duration, unit type, or funding information. The service categories and items available are dependent on which current service agreements are in place for the client and which services and funding types they cover.
- To add a service click the Add Planned Service + icon, or to modify an existing service, click the pencil icon to the right of the listed service item.
- Complete the Planned Service Form (most will pre-populate)
- Click Save Service to save the planned service to the session.
- You can also click the bin icon if you need to remove a planned service.
- Repeat for any additional clients or planned services.
- Click Save to apply the changes.
