Lumary WFM - This article explains how to create a session on a base roster, roster period, or live schedule.

Sessions can be created for both individual and group clients.
The steps are similar whether you need to:
- create a session on a base roster
- create a session on a roster period, or
- create a session on the live schedule.
Create a session on a base roster
Use this process for sessions which are part of the regular pattern of care and need to be included on all (or most) future roster periods.
- Select an existing base roster (or Create a base roster)
- Click the Roster Session button to open the session creation form.
- Fill in the session details:
- Work type: Appointment or Group (if a group session)
- Billable or non-billable: Choose the appropriate option
- Session type: Select from available types
- Set the start and end dates and times and give the session a subject. Use your organisation’s naming convention if applicable.
- Select the location/site and the region (optional) e.g. West.
- Add attendees:
- Assets: e.g., shower chair, minibus
- Clients: Only clients associated with the selected site will appear
- Workers: Assign workers to the session
- Add planned services for the client(s) based on their service agreements.
- Add any relevant session activities such as breaks or overtime.
- Add optional service types, comments, or employee messages.
- Click Save.
Create a session on a roster period
Use this process for sessions which are required for this particular roster period only and therefore are not and will not be added to the base roster, or for sessions which have been introduced to the base roster since this roster period was created and therefore didn't exist at the time this roster period was created.
- Select an existing roster period
- Click Roster Session to open the session creation form.
- Follow the same steps as for a base roster session:
- Select work type, billable status, and session type
- Set start/end dates and session subject
- Select location/site and region
- Add attendees (assets, clients, workers)
- Add planned services and session activities
- Add optional comments or messages
- Click Save.
Create a session on the live schedule
Use this process for sessions happening in roster periods which have already published.
- Navigate to the live schedule via the Scheduling tab or search for Scheduling in the App Launcher.
- Click New Session to open the session creation form.
- Fill in the session details:
- Work type: Appointment or Group
- Billable/non-billable and session type
- Start/end dates and session subject
- Location/site and optional region
- Add attendees:
- Assets: Only assets assigned to the selected region appear
- Clients: Only clients linked to the site appear
- Workers: Select the worker(s)
- Add planned services for each client based on their service agreement or group template.
- Add session activities if required.
- Add any service types, recurrence settings, comments, or employee messages.
- Click Save and Roster.
To modify details after creation, right-click the session and select options like Modify Workers or Modify Clients & Services.
